Email Client Setup Guides

Step-by-step instructions for adding your signature to popular email clients

Gmail

  1. 1.Click the "Copy HTML" button in the signature generator to copy your signature
  2. 2.Open Gmail and click the gear icon in the top right corner
  3. 3.Select "See all settings"
  4. 4.Scroll down to the "Signature" section
  5. 5.Click "+ Create new" and give your signature a name
  6. 6.In the signature editor, press Ctrl+V (Windows) or Cmd+V (Mac) to paste your signature
  7. 7.Scroll down and click "Save Changes"

Tip: You can set your signature to appear automatically in new emails and replies by selecting the appropriate options below the signature editor.

Outlook (Web)

  1. 1.Click the "Copy HTML" button in the signature generator
  2. 2.Open Outlook on the web (outlook.com or outlook.office.com)
  3. 3.Click the gear icon in the top right corner
  4. 4.Select "View all Outlook settings" at the bottom of the panel
  5. 5.Go to Mail → Compose and reply
  6. 6.Under "Email signature," paste your signature using Ctrl+V (Windows) or Cmd+V (Mac)
  7. 7.Check the boxes to include your signature in new messages and replies/forwards
  8. 8.Click "Save"

Note: For Outlook desktop app, the process is similar but accessed through File → Options → Mail → Signatures.

Apple Mail

  1. 1.Click the "Copy HTML" button in the signature generator
  2. 2.Open Apple Mail and go to Mail → Settings (or Preferences on older versions)
  3. 3.Click the "Signatures" tab
  4. 4.Select the email account where you want to add the signature
  5. 5.Click the "+" button to create a new signature
  6. 6.In the signature editor on the right, select all existing text and delete it
  7. 7.Press Cmd+V to paste your signature
  8. 8.Close the Settings window (changes save automatically)

Tip: If images don't appear correctly, try using the "Download" button instead and opening the HTML file in Safari, then copy the rendered signature from the browser and paste it into Mail.

General Tips

  • Always test your signature by sending yourself an email to ensure it displays correctly
  • Some email clients may strip certain styles or images for security reasons
  • If images don't display, make sure you're using publicly accessible image URLs or base64-encoded images
  • Keep your signature concise and professional—aim for 4-6 lines of text maximum
  • Mobile email clients may display signatures differently, so test on multiple devices
